What is a day-of wedding coordinator?

A day-of wedding coordinator is a person responsible for making sure the wedding day or weekend is executed perfectly. Their roles include overseeing vendors, managing the timeline, and overcoming any last-minute challenges that arise during the festivities.

Many venues require couples to provide a planner or coordinator, or they will provide one - for an additional cost. By hiring an indepdent coordinator, couples are sure to have a professional with their best interest and wishes in mind. Coordinators are trained to communicate and collaborate with vendors, venues, guests and families to execute the perfect day.

Coordinators allow couples to avoid vendor questions, logistic problem solving, and creating and managing ceremony and reception timelines.

In short, wedding coordinators aren’t decision makers. They are logistics professionals that ensure the couple’s decisions and plans are executed with care.




Who would benefit by hiring a day-of wedding coordinator?

Many couples opt to work with a full-service planner a full year (or more!) leading up to their wedding day. Coordinators, however, are typically hired 3-6 months before the wedding and recieve confirmed vendor, venue, guestlist, and decor aesthetic ideas.

Coordinators are the perfect compliment to the DIY wedding couple. They allow the couple to make all of the major event decisions, hire vendors, pay deposits, develop decor ideas, execute invitations and wedding websites, and complete 80% of the planning themselves. Once the coordinator is hired, couples can delegate final to-do lists and enjoy the peace of mind knowing a professional will handle any problem that may arise.

What do day-of wedding coordinators do?

Kennedy Services approaches the job description of a Wedding Coordinator with flexibility and grace. The tasks we complete include, but are not limited to, the following:

  • Research and refer recommended vendors

  • Assist with vendor contract and negotiations

  • Point person on-site for the venue, DJ or band, florist, caterer, bartenders, shuttle drivers, hair and makeup artists, officiant and cake delivery. Deliver final payments and gratuities to vendors.

  • Create and manage the entirely wedding day timeline, including vendor arrivals, wedding party preparations, processional, ceremony timeline, recessional, cocktail hour, first dances, speeches and more!

  • Confirm the setup of decor, guest books, gift tables, in memorium displays, candy bars or any personal touches that hold importance to the couple.

  • Lead and attend the wedding rehearsal.

  • Host a 21-, 14- and 7-day lead up call with the couple to ensure all details and decisions have been executed.

  • Assist with guest management.
